ACH Universal is payments software from Treasury Software. It stores your payees, integrates with QuickBooks, handles debits and collections, and is sold on monthly, annual or perpetual licences.

PayFile Pro does a different job: it turns a spreadsheet into a bank-ready ACH or EFT file, in your browser, and charges per file.

They’re built around different assumptions about how you pay people. Here’s how to tell which one matches yours.

Find out whether your payment data is valid before you create an account

This is the difference most people feel first.

On PayFile Pro, you pick your bank and format, paste or upload your payments, and hit generate. Your payments are checked immediately — every field, against that bank’s actual layout — and you’re told what’s wrong before anything else happens. No account. No email address. No trial to start. If the data is clean you get a preview showing the format, the payment count and the total. You only sign up and spend a credit when you want the file itself.

This checks the payment data you’re about to turn into a file. It isn’t a validator for a bank file you already have.

And then: what happens before your first file

ACH Universal asks you to set the system up. Provision or install, configure your account, then create a profile for each payee and enter their banking details. Once that’s done, subsequent runs pull from the profiles you built. It’s a payment application, and it wants to hold your payee data.

PayFile Pro asks you for a spreadsheet. Download the template for your bank and format, fill it in, upload the CSV, generate. Next run, you open the same spreadsheet, change the date and the amounts, and generate again. Blank-amount rows are skipped automatically, so you don’t delete anyone you’re not paying this week.

Both work. Which is better depends on whether your payee list already lives somewhere you’re happy with.

Choose ACH Universal if…

  • You’re collecting money, not just sending it. Pre-authorized debits, customer collections, prenotes, reversals. PayFile Pro generates credit files only — vendor payments and payroll.
  • You need SEC codes beyond PPD and CCD. CTX, IAT, TXP, WEB, TEL.
  • You want to read or repair existing ACH files. ACH-2-Excel parses a file back into Excel.
  • You want QuickBooks to feed the tool directly and you’re willing to build the payee profiles (see the note below on what that integration does and doesn’t do).
  • You want phone support. Included at every tier, plus an implementation session.
  • You need SOC 2 Type II certification from your vendor.

Choose PayFile Pro if…

  • You want to know your payment data is right before committing to anything. Full validation with no account, no trial and no card.
  • You want a file today, not a system this week. Template, fill, upload. Nothing to provision and no profiles to build first.
  • Your payee list already lives in a spreadsheet. Add a vendor by adding a row; skip one by leaving the amount blank. You’re not maintaining a second copy of a list you already have.
  • You don’t pay people every week. Credits never expire, so a quarterly run costs four credits a year rather than twelve months of subscription.
  • You’d rather your payees’ banking details not sit in a payment vendor’s database. PayFile Pro builds the file in your browser; account numbers, transit numbers and amounts never reach our servers. Worth being precise: ACH Universal Desktop also keeps data on your own machine — but that’s a Windows install, licensed per workstation, single-user. PayFile Pro is the same privacy property without those constraints.
  • You need a specific Canadian bank format. We ship named profiles per bank and format rather than a general CPA 005 builder — including the 80-byte layouts TD and BMO still use.
  • You’re not on Windows, or more than one person touches payments. No install, no per-seat fee, no shared-database limit.

About that QuickBooks integration

Worth understanding before it decides your evaluation, because it does less than the name suggests — and the limit isn’t Treasury Software’s fault.

QuickBooks doesn’t export vendor bank details. The integration brings across payee names and amounts. Routing and account numbers still get entered by hand, once per payee, and stored in the application.

So the integration doesn’t remove the data entry. It relocates where your payees’ banking details live — out of your spreadsheet and into a payment application’s database.

If you want a system of record for payees, that’s the point and it works. If your spreadsheet already is that record, you’d be maintaining it twice.

About approvals

A fair question: doesn’t a stored-profile system give you approval controls a spreadsheet can’t?

Partly — but the control that matters most usually isn’t in the file-generation tool. It’s at the bank. Most business banking portals can be configured to require a second approver before a payment file is released, and that applies to any file, whatever produced it.

The file isn’t the payment. Your bank’s authorization rules govern who can release it.

One thing ACH Universal does that a spreadsheet doesn’t: it keeps an audit trail of who created and transmitted each file inside the application. If that history matters to you, that’s a real difference.

What it costs

To generate one file this week: $10, which gets you five credits that don’t expire. No subscription, no card on file for a renewal. And you’ll know your data validates before you spend any of it.

ACH Universal starts at $19.95/mo on Desktop and $39.95/mo on Online, with a 30-day free trial.

Over a year, generating a file a week, PayFile Pro is roughly $78. ACH Universal Online Standard at its monthly rate works out around $479 — though they also offer annual subscriptions, which are likely cheaper, so check their pricing page for the figure that applies to you. At high volume the gap narrows: around 250 files a year PayFile Pro is about $375. And at that point, if you also need debits, addenda or phone support, the comparison stops being about price at all.
